Pledge Deadline

All pledges must be entered into the online pledge system by Friday, October 12, 2018 at midnight in order for your student to be eligible for Top Club. Please ask your donors to pledge online or in person before Friday, October 12, 2018.

 

How to Pledge

Your student will receive a pledge packet from school. The pledge packet contains a Pledge Account sheet and a Permission sheet. Your Pledge Account sheet contains a Fundraising Page link which you can share with your friends and family. They can visit your student's fundraising web page and pledge your student money by credit card. If you would like to solicit cash and check pledges, see Soliciting and Collecting Cash/Check Donations.

 

Before the Walkathon

Collect pledges from your family and friends by sharing your Fundraising Page link from your Pledge Account sheet. Submit any cash/check/door-to-door pledges into the pledge system. When done, view your Fundraising Page online and copy your grand total onto your Permission Sheet. This must be done before Walkathon on Saturday, October 13, 2018. This picture shows which number to copy from your personal Fundraising Page onto your registration card.

 

 

 

On Walkathon Day

Bring your Permission Sheet, signed by a parent, to Walkathon. Be sure you have entered your total pledges received, signifying you are ready to participate.

 

Do NOT bring any pledge money (cash or checks) to Walkathon.  Any pledge money (cash or checks) may be submitted to your teacher or the Main Office starting Tuesday, October 16, 2018.

 

Pledge and Mileage Goals

We encourage all children to set a personal goal of collecting at least $250 in pledges for their school.  We also encourage all children to set themselves a personal mileage goal and try to meet it. You can update your personal fundraising and mileage goals by viewing your Fundraising Page and logging in to see your Participant Conrol Panel. 

 

Soliciting Online Donations

The best and easiest way to solicit pledges is to share your personal Fundraising Page link with your friends and family.  For example, if my link was http://booksin.dojiggy.com/mylink, I would email that link to my family, share on Facebook, or use any other means to share that link with my potential donors.  With that link, your donors can simply visit your Fundraising Page, submit a donation via credit card, and they're done. Your personal Fundraising Page has a thermometer at the top to tell you how much money you have raised. Asking your donors to donate via credit card saves our volunteers a lot of time.

For handy ways to share your personal Fundraising Page link through various social media outlets, you can sign in to your personal Fundraising Page and view My Account -> Sharing.

 

Soliciting and Collecting Cash/Check (Door-to-Door) Pledges

We recommend asking all of your donors to submit their own pledges to you via credit card on your personal Fundraising Page as it saves our volunteers a lot of time. If they do, you will have no additional work of collecting money after the Walkathon. 

However, if you choose to solicit cash or check donations in person, you might find it helpful to use an door-to-door worksheet to keep track of your donors. This worksheet is for your personal use only - please do not return this worksheet to school. Save it to help you with collections after Walkathon. If you collect cash or check donations, you MUST enter them into your personal fundraising page BEFORE the walkathon in order to participate.

Please hold onto any cash or checks you have collected and submit them to your teacher or the Main Office after Walkathon. A Collections Report will be sent with instructions on how to submit any cash or check payments based on the data you entered on your fundraising page.

Entering Cash/Check Pledges into Your Personal Fundraising Page.
If you have collected cash or check pledges, you must enter them on your personal Fundraising Page BEFORE the Walkathon in order to participate. Please follow these instructions to input your data.

 

Logging into Your Personal Fundraising Page

  1. Go to your Fundraising Page. Your personalized link can be found on your Walkathon Pledge Account Sheet.                                  
  2. Click the Login link in the upper right corner of the page and log in with the username and password from your Pledge Account sheet. You should then be taken to your personal settings.
  3. Under My Page, click Donations. This will show you all of the pledges you have received or entered online so far.
  4. Click on the button “Enter personal donations".                        

                                                                              

Entering Donations                                                            

  1. Enter a pledge as if you are the donor (for example, under Your Information, please provide your donor’s information, including an address for collecting later and/or email if the donor would like a tax receipt). Important: Please enter the donations exactly as you plan to turn them in. If you plan to consolidate your donations and write your own check to BESCA, then you should enter yourself as the donor for the amount you write the check for.  We can only give a tax receipt to the person who wrote the check.
  2. Click Complete to submit the pledge.
  3. A receipt will be shown. Click “Make Another Donation” to enter your next in-person pledge.

 

Post Walkathon Collections Process

If all of your pledges were paid via credit card, you will have no extra work to do after Walkathon. Walk all day and you’re done!

 

All students will receive a Collections Report on the Monday after the Walkathon, October 15, 2018. This report will list all of your completed credit card donations, as well as all check/cash donors, their contact information as you submitted it, and instructions on how to submit that money as well as the deadline of when to return it to the school.

 

• Cash and Checks should be made out to BESCA with the order number in the memo field. 

 

• Staple an envelope with your cash and checks to the Collections Report and returned to your teacher.

 

• Money can be turned in anytime between October 15, 2018 and October 24, 2018 at the latest.

 

Pledge Types

Flat Pledges – The preferred pledge is a flat pledge (a fixed amount), regardless of how far a student walks.

Per-Mile Pledges –  With a per-mile pledge, the donations increase with each mile walked. Per mile pledges backed by credit cards will be charged during the week of October 15th, after we have calculated mileage. Per-mile pledges by cash or credit card should be collected after the Walkathon. Your Collections Report will tell you the final amounts to be collected based on your actual miles walked.

 

We prefer flat pledges because it is a known amount of money. Regardless of whether a student walks one mile or 30, the amount stays the same. This removes any surprise factor for donors who may not realize how far these kids can really walk/run. Most important, if you collect flat pledges, the money can be collected immediately, whether online via credit card or in-person. This means you do not have to return to the donor after Walkathon for further collections. Flat pledges save time for our students and our volunteers.

 

Payment Types

Payments made by credit card are the easiest for our volunteers to process!

Credit Card – We prefer credit card pledges. The pledge will appear on your credit card statement as “WPY*Booksin BESCA.”  Flat pledges will be charged immediately.  Per-mile pledges will be processed after Walkathon and after the miles walked are calculated. A charge should appear on your credit card during the week of October 15, 2018.

 

Check – Checks should be made payable to “BESCA” and given to the student. The student will then submit the check to the school. Per-mile pledges by check will be processed after the Walkathon and after the miles walked are calculated. The amount due will be calculated and the student will collect the final pledge amount.

 

Cash – Pledge payments of cash should be given to the student. The student will then submit the cash to the school. Per-mile pledges by cash are handled the same as with checks.

 

Pledge Amounts
The minimum pledge our system can process is $2.  This is due entirely to credit card processing fees.

 

Changing Payment Amounts/Types

If you have submitted pledges for your donors as a cash or check pledges, and they would like to change their payment type or amount, please email walkathontech@mybesca.com with the order number, and the new payment information. Remember, if your donors give you extra, updating the amount in the online system will help you reach your goal of Top Club.  Similarly, if you need to remove a pledge due to non-payment, please email walkathontech@mybesca.com with the details.

 

Corporate Matching

Many companies have matching programs for employee donations. Donors and parents, please check with your employer to see if they match donations that you make to Walkathon. Generally speaking, you will submit your pledge through your Fundraising Page as normal, and then contact your employer about how to match that contribution. Name Corrections

If your student’s name is spelled incorrectly on his/her personal Fundraising Page and you would like to change it, please email walkathontech@mybesca.com with your student’s real name, name as it appears in the system now, and his/her teacher.

 

Other Personal Information Corrections

If you would like to update your email address or other personal information (such as your password), you may do so by logging in to your personal Fundraising Page and going to My Account -> Update Profile where you can type any updated information.

 

Not receiving email updates?

We are sending regular email updates with Walkathon information to the email address you provided in Konstella. If you are not receiving these emails, please let us know your correct email and we will update you right away. Contact walkathontech@mybesca.com with your student's name, class, and correct email address.
